Acceptable Use Policy

Effective date: 12 June 2026

This Acceptable Use Policy ("AUP") governs how you may use Richinei ERP (the "Service"). It is part of, and incorporated by reference into, the Terms of Service. Violations may result in suspension, termination, and (if applicable) liability for damages.

1. Lawful use

You may not use the Service in any manner that violates applicable law, including (without limitation):

  • the Nigeria Data Protection Act 2023 and the Nigeria Data Protection Regulation 2019;
  • the Cybercrimes (Prohibition, Prevention, etc.) Act 2015 and its 2024 amendments;
  • the Money Laundering (Prevention and Prohibition) Act 2022;
  • the Tax Administration and Enforcement Act and other Nigerian tax laws;
  • intellectual property laws, including trademark, copyright, and patent;
  • export-control and sanctions laws, including those of the United Nations, the Federal Republic of Nigeria, the United States, and the European Union;
  • the laws of any jurisdiction where your data subjects reside.

2. Prohibited content

You may not use the Service to store, process, transmit, or display content that:

  • is unlawful, defamatory, libellous, obscene, pornographic (including child sexual abuse material), discriminatory, hateful, threatening, or harassing;
  • infringes intellectual property rights of others, including trademarks, copyrights, patents, or trade secrets;
  • contains malicious code, viruses, worms, trojans, or other harmful programs;
  • attempts to gain unauthorised access to other systems or data;
  • includes deceptive content intended to defraud, mislead, or manipulate;
  • promotes illegal goods or services;
  • relates to weapons, drugs, or other controlled items in violation of applicable law.

3. Prohibited conduct

You may not, and you must ensure that your Authorised Users do not:

  • probe, scan, or test the vulnerability of the Service or any related system without our prior written consent (with the exception of security research conducted under our Responsible Disclosure policy — contact richineitechnologies@gmail.com);
  • circumvent or attempt to circumvent any authentication, rate-limit, or access-control mechanism;
  • interfere with or disrupt the Service, including by overloading, flooding, or spamming;
  • launch or facilitate denial-of-service attacks or similar abuse;
  • send unsolicited messages ("spam") through any messaging features of the Service;
  • collect personal data about other users or third parties without their consent;
  • reverse engineer, decompile, or disassemble the Service or any of its components except where expressly permitted by law;
  • scrape, mirror, or harvest content from the Service for any purpose other than your own internal business operations;
  • share or sell account credentials with anyone outside your business;
  • falsify or misrepresent your identity, your organisation, or your relationship to others;
  • exceed the resource limits of your plan (storage, API calls, locations, users) except through agreed upgrades;
  • use automated tools or bots in a way designed to evade rate-limits or fair-use protections;
  • resell or sublicense the Service except as expressly permitted in the Terms.

4. Acceptable business uses

The Service is intended for legitimate business operations, including:

  • managing sales, inventory, procurement, production, and finance for your own business;
  • communicating with your customers, suppliers, and employees;
  • generating reports and analytics about your own operations;
  • integrating with third-party services where supported.

The Service is not designed for:

  • high-frequency trading or financial market activity;
  • broadcast or mass-distribution of unsolicited communications;
  • storing or processing financial instruments outside the supported invoice, sales, and payment models;
  • replacing dedicated banking, payroll-tax, or regulatory-reporting systems where law requires a specific tool.

5. Resource and fair use

Your plan includes specified resource allowances (locations, users, storage, API calls). You may not:

  • exceed those allowances without arranging an upgrade;
  • use automation or scripts to consume resources in a way that is disproportionate or that degrades the experience for other Tenants;
  • share resource capacity with parties outside your business.

We monitor usage. If your usage is materially out of line with normal business activity, we may suspend the affected functionality and contact you to discuss an appropriate plan.

6. Security

You must:

  • use a strong unique password and (where supported) enable two-factor authentication;
  • promptly disable access for departing employees or compromised accounts;
  • not share login credentials between people;
  • keep your devices secure with operating-system updates and reputable anti-malware;
  • review audit logs periodically and report anomalies;
  • notify us immediately of any suspected unauthorised access via richineitechnologies@gmail.com.

You must not knowingly run software on your devices that would compromise the Service or other users.

7. Data you process about others

When you use the Service to process personal data about your customers, employees, or suppliers:

  • you are the data controller of that information;
  • you are responsible for ensuring you have a lawful basis to do so;
  • you must comply with the Nigeria Data Protection Act 2023 and other applicable data-protection law;
  • you must provide your data subjects with an appropriate privacy notice;
  • you must respond to data-subject rights requests directed to you;
  • you must not upload special categories of data (health, biometric, religious, political, etc.) about third parties without an explicit lawful basis.

Our role in processing this data is set out in the Data Processing Agreement.

8. Reporting abuse

If you become aware of conduct that violates this AUP — whether by another user, an authorised user within your own organisation, or by us — please report it to richineitechnologies@gmail.com. Include:

  • the date and time of the incident;
  • the URL or account involved;
  • a description of what happened;
  • any evidence you can share (logs, screenshots).

We treat abuse reports confidentially to the extent possible.

9. Consequences of violation

If we determine, in our reasonable judgement, that you have violated this AUP, we may take any combination of the following steps:

  1. Notify you of the violation and require remediation;
  2. Temporarily suspend the affected feature or your account;
  3. Permanently suspend or terminate your account if the violation is severe, repeated, or not remediated;
  4. Remove or refuse to display offending content;
  5. Cooperate with law enforcement or regulators where required;
  6. Recover damages caused by your violation.

For non-emergency violations, we will give you a reasonable opportunity to remediate before suspension. Where a violation poses an immediate risk to the Service, other users, or third parties, we may act without prior notice.

10. Changes to this AUP

We may update this AUP from time to time. Material changes will be announced via the same channels as our Terms of Service. Continued use of the Service after the effective date of an update constitutes acceptance.
